Plan a promotion with Chat
Describe a promotion once and Chat turns it into a goal with a plan across departments. You approve the plan, follow the parts as they run, and read every deliverable in Artifacts. This guide follows Kestrel’s winter stationery offer.
- A Marketing department with active employees. At Kestrel: Viktor Stoyanov (Marketing lead), Hannah Brooks (content writer) and Rui Santos (lifecycle email).
- What the offer is, written down where Marketing can read it. Kestrel’s price list is scoped to Sales, so the owner adds a short company source, “Winter stationery offer”, in Knowledge.
- Credits left this month, or your own AI key on Paid.

1. Describe the goal#
Open Chat and say what you want, who it is for, what should come out of it and the most it may spend on AI. For example:
“Plan a two-week winter promotion: 15% off office stationery for offices in Bulgaria from 1 December. I want a landing page text, three social posts, a customer email and a one-page brief for Sales. Up to $5.”
2. Confirm the proposal#
Chat answers with a card, Chat proposes a goal: the goal in its words, the AI spend cap for this goal, and the two decisions ahead, yours to confirm and yours to approve the plan. Nothing has changed yet.
- 1
Check the wording
Edit changes the goal, its details or the cap in place; Chat is told what you changed.
- 2
Confirm and plan
Select Confirm and plan. The planner writes a plan; nothing starts while it does.
3. Read the plan#
When the plan is ready, the goal’s row reads Plan waiting for you and your Inbox gets a Plan item. Open it to see the plan beside the chat:
- Estimated cost, against what is left of the cap.
- Departments, each with the leader and the parts it takes on.
- Steps: numbered parts, each with who leads it, what it must produce, and “after part 1” where one waits for another.
- Done when: how the goal is judged complete.
At Kestrel the plan might give Viktor the offer’s message, Hannah the landing text and posts after it, Rui the customer email, and Mira Petrova in Sales the one-page brief.
4. Change it, then approve it#
- 1
Change what you don’t like
Change plan puts “Change the plan of …” in the message box. Add what to change, such as “Rui writes the email only after the posts are done”, and send. The planner writes Plan v2.
- 2
Apply any new people first
If the plan needs a new employee or department, Chat proposes it as organization changes. Apply N changes creates them; until then Approve and start stays off.
- 3
Approve and start
Approve and start assigns each part to its leader’s team. You can cancel the goal at any time.
5. Follow the work#
The panel now shows Progress: each part with who leads it, how much of its team’s work is done, its last review, its cost, and its status, from Queued and Working to Accepted. See the work in the office shows the people working.
- A lead reviews their team’s work and returns what falls short, before it counts.
- A question for you, such as which product photo to use, waits in Inbox › Needs you and the part shows Question for you.
- Each part is also a task in Work, listed as “Part T2 of …”; filter by Marketing to see only theirs.
6. Read the report and the deliverables#
When the goal ends, the panel’s Report is written from Royak’s records, not the employees’ own accounts: Who did what, the Cost against the cap, and Limitations, such as a part that failed or work that was returned.
Each part’s document is in Artifacts, under By employees:
- The reader shows who wrote it, the task it came from, and numbered source chips for what it cites.
- Compare with the previous version shows what changed, line by line.
- .md downloads it as Markdown; Copy link to this version links to exactly that version.
- Edit as v2 makes your own version; the employee’s stays as it was.
Want changes? Open the part’s task in Work and Request revision. See Artifacts.
Questions#
Can I stop a goal halfway?
Cancel goal in the panel’s menu. Unfinished parts are canceled and finished work is kept; a call already under way finishes and is charged.
What if the cap runs out?
Work waits and asks you to raise it; it never goes over. Your monthly limits still apply too.
Does Chat use my company’s knowledge when it plans?
Yes. Drew on the company memory under the plan lists what it read.
Can I run two goals at once?
Yes. Each has its own plan and cap; parts wait their turn when your plan’s work running at once is full.
