Memory and shelves

Memory shows everything your employees and Chat read, arranged as shelves: the company’s, each department’s, each employee’s own, what Chat keeps, and standing rules. Teach them something in one line.

Memory and sources#

Sources are your documents. Memory is the view of what each reader actually draws on: the passages from those sources, the notes you teach, the things Chat was allowed to remember, and the rules you approved. A line on the map means that reader may read that shelf, by exactly the same rule a task uses.

Knowledge › Memory: who reads what.

Who reads what#

Open Knowledge → Memory. Select a person to light up their shelves, or a shelf to see who reads it. Select again, or press Esc, to clear.

ShelfWho reads it
CompanyEvery active employee, and Chat.
Each departmentThat department’s active employees, and Chat.
Own shelvesEach employee their own (shown as “Elena’s own”), and Chat.
Kept memoriesChat only. Employees never read them.
Standing rulesThe one employee each rule was approved for.

Teach something#

  1. 1

    Choose a shelf

Select the shelf the note belongs on: the company, a department, or one employee’s own.

  2. 2

    Write it

Type into Teach your employees something…, for example “We always quote prices in euros, VAT excluded.”

  3. 3

    Add it

Select Add. Everyone on that shelf uses it from their next task.

A taught note is saved as a text source on that shelf, so it is searched and cited like any source and counts towards the 100 sources. With nothing on any shelf yet, the page offers starters: We always…, We never… and Our biggest customers are….

What’s on a shelf#

CardWhat it is
Taught by youA note you added.
From a filePassages from a source. Change them in Sources with Open source.
Kept memorySomething Chat asked to remember and you kept.
Standing ruleA line you approved for one employee; see Standing rules.

Chips narrow the shelf to All, Kept, Waiting for you, Taught by you or From files. Each card says who read it and in how many tasks, such as “Read by Mira, Daniel · in 3 tasks”: that counts tasks whose searches cited it, not a promise of future reads.

Forget removes a note or kept memory from the next task on; it asks once first. Members who aren’t the owner see the shelves without the teach box or actions.

Kept memories#

When Chat learns something worth keeping, it asks under Worth remembering? with Remember or Don’t keep. The question also waits in your Inbox as Memory to keep for 30 days.

NoteEmployees don’t learn from past tasks by themselves. They read their sources, what you teach, and their approved standing rules. Kept memories are for Chat only.

Questions#

Should I teach a note or upload a source?

Teach a note for a short fact or habit (“We never discount below 10%”). Upload a source for a document: a price list, a contract, a handbook.

Why doesn’t an employee read Chat’s kept memories?

Kept memories come from your conversations with Chat. Employees read only what you put on their shelves, so their work stays predictable.

How do I make an employee always do something?

Use a standing rule: it changes that employee’s instructions once you approve its wording.
