Your first approval

2 min readUpdated 2 Nov 2026

When an employee wants to change something outside Royak, such as sending an email, it asks you first. You see the exact action and decide.

Before you begin
  • An employee with Read and write on a connected app, working on a task that writes to it.
  • You’re the owner, or a member with the Approver role.

Find the request#

Requests wait in Inbox › Needs you. They also show in the Office’s Needs you column, where the employee walks to your room and waves, and on the task. While the Getting started checklist is open, it points out your first request when it arrives.

Needs you also holds questions, limit raises and Chat’s proposals.

Read the card#

An approval request: the exact action, where it goes, what it costs, and two choices.
  • The action, verb first, exactly as it will run: “Send 18 follow-up emails to the Hamburg fair leads”.
  • The effect: what changes and roughly what it costs, or that the cost isn’t known.
  • The destination and content: the recipients and every word of the message.
  • Why: the task and the sources the employee used, with a warning if it read content you didn’t write.

Decide#

  1. 1

    Check the content

Every argument is shown exactly as it will be sent. Request details shows the raw request.

  2. 2

    Approve

Select the approve button, named for the action, such as Approve and send, or press A.

  3. 3

    Or decline

Select Decline or press X, and give a reason. It goes back to the employee, who decides what to do next.

The card then shows the outcome: Sent, Failed or Declined. Nothing was sent before you approved.

CarefulOnce sent, it’s sent: an email can’t be recalled. If the app didn’t confirm, the card says Outcome unknown and Royak never sends it twice; check in the app.
NoteA request expires after 24 hours without a decision and sends nothing; the employee can ask again. If the request changes after you approve, for example because the task read something new, you approve again.

Approving the same thing every time?#

Under a waiting request, Allow again without asking… opens a standing approval with the action, connection, destination and employee filled in: named employees may then repeat that one action, within caps and an expiry you set, and its first runs come back to you as a sample.

Questions#

Can I decide later?

Yes, within the request’s 24 hours. You can snooze it only to a time before it expires, so it never leaves Needs you undecided.

What happens while the company is paused?

You can still decide, but approved actions are sent only after you resume.

Where do I see what I decided?

In Inbox › Decided for the last 90 days, and in Settings › Activity; see History and audit.

Can someone else approve for me?

Members with the Approver role can; see Team members.
