Sources

Sources are the documents your employees search and cite: notes, PDFs, Word files and images. You decide who may read each one, and every answer built on them says where it came from.

Your sources#

Knowledge › Sources, with each source’s scope and index state.

Open Knowledge. The Sources view lists every source with its Scope, its Index state (such as Indexed, Queued, “Reading 12 of 24”, Not searched or Couldn’t read), its version and when it changed. Filter by Company, Department or Employee, or by name. Needs attention collects sources that couldn’t be read in full.

Add sources#

  1. 1

    Open Add sources

    On Knowledge, select Add sources.

  2. 2

Drop a file or paste text

Markdown or plain text up to 64 KB, or an image, PDF, Word, audio or video file up to 95 MB.

  3. 3

Give it a title and a scope

Choose who may read it: the company, one department, or one employee.

  4. 4

    Mark where it came from

Tick Written outside the company for a vendor’s, a customer’s or a web page’s text.

Indexing goes on after you close the page. A file can be previewed while it is indexed; search finds it once it is Indexed.

What search reads#

FileWhat employees can search
Text and MarkdownAll of it.
PDFIts text, page by page, up to 20 MB. Pages that are only pictures are read by an AI model in PDFs up to 10 MB and 20 pages.
WordIts text, up to 20 MB.
ImageA short description, written once by an AI model, for images up to 5 MB.
Audio and videoStored and shown, but not searched.

Search reads up to 512 KB of text from each file. A source’s Search notes say what it could not read and why, such as a scanned page with no text or a file protected by a password.

NoteKnowledge indexing and search run on Royak, at no cost to you. Describing an image or reading a scanned page is an AI call, paid within your limits like any other.
NoteA company holds up to 100 sources, within your plan’s storage: 100 MB on Free, 5 GB on Paid.

Who may read what#

ScopeWho reads it
CompanyEvery active employee, and Chat.
DepartmentThe active employees in that department, and Chat.
EmployeeThat one employee, and Chat.

So Elena in Sales reads the company’s sources, the Sales sources, and her own. Titles, managers and skills give no extra access. Chat reads everything you can.

TipMark a source Written outside the company when someone else wrote it. A task that reads it can still finish its deliverable, but anything it then sends outside the company waits for your exact approval.

How employees search and cite#

While working, an employee searches the sources in its scope; the task shows the step as Searching knowledge. It only sees passages that match well, at most five a search, so a weak match never steers the work.

A deliverable cites what it used with chips such as [S1], and Royak adds a Sources list at the end, after checking the employee may still read each one. Select a chip to see its source and Open source.

You can search too: the Search tab finds the passages your employees would cite, each with Open at passage, Copy citation and how many tasks used it. Ask Chat instead sends your words to Chat.

Change or remove a source#

Select a source to open it. Its menu has Change scope, Mark as outside content (or Mark as written by you), Reindex source, Revoke source and Delete source. Upload a New version from Versions; every version is kept.

The Graph tab shows which tasks read each source and which deliverables were built on them, and warns when a deliverable is built on an older version.

CarefulRevoking or deleting a source takes effect at once in search and answers. Deliverables built on it can no longer be read.

Questions#

Can an employee read a source outside its scope?

No. Search only returns passages the employee may read, and Royak checks again before adding a source to a deliverable.

Why can’t search find words in my PDF?

Its pages may be scans with no text. Open the source and read its Search notes: they say which pages were read from their picture and which weren’t, and why.

Can someone outside the company open my sources?

No. There are no public or shareable links: every preview and download checks that the person is a member of the company first. See Security.

What is the difference between sources and memory?

Sources are your documents. Memory shows everything your employees and Chat read, sources included, as shelves.
