Standing rules

A standing rule is a line added to one employee’s instructions, such as “Always attach the source list”. It changes how they act, so you approve its exact wording first.

Rules, notes and instructions#

UseWhen
A taught noteA fact every reader of a shelf should know: “Our fiscal year starts in April.”
A standing ruleHow one employee should work, every time: “Always attach the source list.”
Editing the employeeA bigger change to their role or instructions, saved as a new draft.

Where rules come from#

  • When you Request revision on a task, tick Also propose a standing rule so the fix applies next time too.
  • In the employee’s Chat tab, when they propose one.
  • On Knowledge → Memory, by teaching on the employee’s standing-rules shelf (Standing rules · {name}).

Approve or reject#

A proposed rule waits in your Inbox as Standing rule: “Add to Elena’s instructions: …”. Decide opens where it was proposed: the task, with Approve rule or Reject rule, or the employee’s Chat tab, with Approve or Reject.

On the Memory page, a proposed rule waits on its shelf with “Waits for your approval”, Edit (to change its wording first) and Approve rule. A rule you teach there waits the same way: nothing changes until you approve it.

Approving adds the line to the employee’s instructions as a new version; their next task uses it. Rejecting a rule that came from revision feedback keeps that feedback for that one revision only.

Revoke a rule#

On Knowledge → Memory, find the rule on the employee’s standing-rules shelf and select Revoke. It is removed as another new version of the employee’s setup, from their next task on.

NoteA rule shapes how an employee works. It never grants access to an app, skips an approval or raises a limit.

Questions#

Can an employee add a rule to itself?

It can only propose one. Nothing changes until you approve its exact wording.

Does a rule apply to a task already running?

No. The employee follows it from their next task.

Can one rule apply to a whole department?

A rule belongs to one employee. For something a whole department should know, teach a note on the department’s shelf.
